Manager approvals at the till
Giving a manager their role and PIN, what a manager approves at the till: paid outs and drops over the limit counted across the drawer, a tax exemption card typed for one sale, return-policy overrides and layaway cash back, and a store with no manager PIN.
Example store: Maple & Brass, a jewellery shop in Toronto. Names, addresses and figures are made up.
Transcript
01 A manager’s role and PIN
The till stays signed in under one login all day, so that login alone cannot say who approved something. A manager approves with their own PIN instead.
Open the cashier list on the till. Under “Add a cashier”, enter the “Name” and a “PIN”, set “Role” to “Manager (approves with their PIN)” and click “Add cashier”.
For someone already on the list, click “Make manager” under “Manage”, and make sure they have a PIN. “Make cashier” takes the role away again.
02 What a manager approves
Four things need a manager: a paid out or cash drop over your limit, a tax exemption card typed for one sale, a return the policy refuses, and cash back for a layaway paid by card.
Each one shows “Manager approval”: the manager chooses their name under “Manager” and types their “Manager PIN”, on top of a manager’s sign-in at the till.
Only an active manager with a PIN can approve. Wrong PINs count towards the same lockout as signing in, and the audit log names the manager who approved.
03 Paid outs and drops over the limit
Paid outs are counted over the whole drawer: once the paid outs from this drawer would come to more than your limit, the next one needs a manager.
A single “Cash drop” over the same limit needs a manager too, and “Paid in” never does. Set the “Paid out limit” in “POS setup”: 50.00 unless you change it.
“Download cash in / out (CSV)” at the end of the shift shows who approved each one, under “Manager approved” and “Approved by”.
04 A tax exemption card typed at the till
Under “Tax exempt sale”, a card on the customer’s file needs no approval. “Or a card for this sale only (a manager approves it)” does: choose the “Kind” and type the number.
The manager enters their PIN under “Manager approval” and clicks “Approve for this sale”. The till then shows who approved it and what it “Takes off”.
The approval is bound to that customer, that card and its province, and holds for one sale. Choosing another customer, or ringing up the next sale, needs a new approval.
05 Return overrides and layaway cash
When the return policy refuses an item, a manager can still take it back: enter the “Reason for the override” and the manager’s PIN, then click “Override and give back”.
The override, its reason and the manager who approved it go in the audit log.
Cancelling a layaway “All in cash from this drawer” gives cash paid in cash straight back. Cash for a card or link payment needs “Manager approval to give it back in cash”.
Without a manager, give that part back “The way each was paid” or as “Store credit”.
06 A store with no manager PIN
If no manager at your store has a PIN, the till’s sign-in approves as before. The till says so, and the audit log records that the till’s sign-in approved it.
The approval then reads “Approved by the till's sign-in (no manager PIN at this store).” Add a manager with a PIN to have them confirm it in person.
That completes the course. Every chapter links to its manual page, for when you want more detail.

« Make cashier » retire le rôle.
« Or a card for this sale only (a manager approves it) » oui : choisissez le « Kind » et tapez le numéro.
Annuler une mise de côté « All in cash from this drawer » rend tout de suite l’argent payé comptant. Pour un paiement par carte ou lien : « Manager approval to give it back in cash ».
Sans gérant, rendez cette part « The way each was paid » ou en « Store credit ».
L’approbation indique alors « Approved by the till's sign-in (no manager PIN at this store).
