01 The tax filing summary

Under “Finance”, open “Tax filing”, or click “Tax filing summary” on “Tax rules”. Choose the first and last day under “Period” and click “Show”.

Each currency lists every tax your orders charged on its own row: GST, HST, PST, QST or a state’s sales tax, with the place it is owed to and its rate.

For each one you see “Taxable sales”, “Tax collected”, “Tax refunded” and “Net tax”, ready to copy onto your returns, and the totals under the table.

02 Paid dates, refund dates and no split

A sale counts in the period it was paid, not placed. A refund counts in the period it was made, so a later refund never changes a period you already filed.

A refund gives back each tax in proportion to the amount refunded. An order billed on terms counts on the day it was placed, and test-mode orders are left out.

Orders kept as one total, such as older orders, quotes, terms invoices and imports, are listed apart with no split recorded. The page never guesses how to split them.

“Download CSV” gives the same figures as a spreadsheet. It is a summary to help you file, not a filed return: BestWebby does not file or pay tax for you.

03 A customer’s tax exemption

Some customers do not pay a particular tax, such as a status card holder or a reseller in British Columbia. Open the customer, then the “Profile” tab, to “Tax exemptions”.

Click “Add an exemption” and choose the “Kind”: it shows what it takes off. Enter the “Card or certificate number” and, if it has one, “Valid until (optional)”.

Click “Add exemption”. The number shows as its last four characters, and the bin icon removes it. Check the card yourself: BestWebby cannot verify it.

04 What an exemption takes off

Each kind takes off only its own taxes, where the sale is taxed. A status card takes off the provincial part, 8% of Ontario’s 13% HST; GST and the federal part are still charged.

It applies at checkout when they are signed in, on their draft orders and at the till. The order keeps which exemption, its number and what each tax lost.

A rule that blends GST and PST into one rate cannot be split, so it is charged in full. With prices that include tax, or on orders Stripe Tax prices, the customer pays the same.

05 A tax exempt sale at the till

At the till, tap “Tax exempt sale”. Pick the exemption on the customer’s file, or choose a kind and type a card number for this sale only.

A number typed at the till needs a manager: an owner, admin or manager signs in and clicks “Approve for this sale”, with their “6-digit code” if they use two-factor sign-in.

Before you charge, the till shows what it takes off. The sale goes in the audit log with the kind, the last four characters of the number and who approved it.

06 Exempt sales in the summary

In “Tax filing”, each tax an exemption removed shows under “Exempt sales (customer tax exemptions)”: the tax not charged, each kind of exemption and how many orders.

A sale with a tax taken off entirely counts as exempt, not taxable, for that tax. “Download CSV” adds “Exempt sales”, “Tax removed by exemptions” and “Exemption types”.

Keep each customer’s card or certificate number with your records: the order keeps it for you. Next: subscription renewals and pickup times.
