01 Round cash to 5¢

Canada no longer issues the penny, so the till can round a cash payment to the nearest 5¢. Open “POS setup” under “Settings”.

Under “Cash in / out”, “Round cash totals to 5¢” is on for a store that sells in Canadian dollars until you choose, and off for any other currency.

One and two cents round down to zero, three and four up to five, six and seven down to five, and eight and nine up to ten.

Only the cash part of a payment is rounded. Card, gift card and e-Transfer payments are charged to the cent.

02 Rounded cash at the till

At the till, choose Cash: “Cash due” and a “Cash rounding (5¢)” line show before you charge, and the change is worked out from the rounded amount.

A $10.12 sale paid in cash takes $10.10, and a $10.13 sale takes $10.15. Tax is worked out on the total before rounding, so it does not change.

The order keeps its true total. The rounding is a line of its own on the receipt, the order, in Accounting and in the orders export, so sales and cash both add up.

In a split payment, only what is left for cash is rounded, and the till says how much cash to take. A sale rung up offline keeps its rounding when it syncs.

03 Refunds, layaways and the shift

A cash refund at the till is rounded the same way, and the till says how much to hand back. It never hands back more cash than the sale took in cash.

Each cash deposit or payment on a layaway is rounded on its own. The layaway is credited what you entered, and the till tells you the cash to take.

At “End shift”, the cash you should have is the rounded cash taken and handed back, and the shift’s net rounding has a line of its own on Shifts.

04 Sold or promotional gift cards

Gift cards follow Canadian rules too. In “Gift cards”, “Issue gift card” asks for the “Kind of card”: sold or paid for, or promotional, given away with no payment.

Most provinces, Ontario and British Columbia among them, do not allow an expiry date on a card someone paid for. So for a store in Canada, a sold card never expires.

Only a promotional card, like a contest prize or a thank-you, can have an expiry date. It shows as “Promotional card — expires” with the date in the list.

05 Cards that never expire

A gift card bought on your storefront or on a draft order never has an expiry date, and nor does store credit from a return or a refund.

The storefront’s balance check and the card’s email show the same “Promotional card — expires {date}.” line, and a referral reward paid as store credit is promotional.

Next: promotions online, in store and by location.
