Approvals and Limits: What Your Automations May Do Without Asking

Approve or reject what your store's automations propose, see everything they have done, and set how far each one may go on its own.

Overview

Your store's automations look over your store every six hours and propose actions: a restock order when stock runs low, a reply to a new review, a hold on a risky order, and so on. Insights → Approvals & limits is where those proposals wait for you, and where you decide how much each automation may do without asking.

The page has two tabs:

  • Ledger — everything your automations have proposed or done. Approve or reject what is waiting.
  • Limits — for each automation, how far it may go on its own, with daily and per-action spending limits.

Approvals & limits is available on every plan. An automation only proposes actions for features your plan includes.

The automations

AutomationWhat it does when it goes ahead
Restock ordersCreates a draft purchase order for a product running low. A draft orders nothing until you send it.
Price markdownsCreates a suggested markdown plan for slow stock. Prices change only once you approve the plan under Clearance.
Clear dead stockSets up an auction or a bundle for stock that is not selling.
Email campaignsCreates a draft email campaign. It sends nothing until you send it.
Content draftsWrites a description for a product that has none. It never replaces a description you wrote.
Review repliesPosts a public reply to a customer review.
Review requestsEmails one customer asking for a review after delivery.
Automation actionsEnrols a customer who has stopped buying in your win-back flow.
Fraud holdsPuts a risky order on hold so it is not fulfilled until you check it. Nothing is cancelled or refunded.

Ledger: approve or reject

The cards at the top show what is Awaiting your approval and what was Done this week. Filter the list by All, Awaiting you, Done, Rejected or Undone.

Each waiting action shows what it is and why it was proposed. For each one:

  • Approve carries it out straight away, with your own permissions: if your role cannot do that action yourself, the approval is refused.
  • Reject asks you to confirm, then drops it.
  • Details shows who started it, its estimated spend, when it was proposed and decided, a summary and the reasons.

History lists everything decided, with its status.

Limits: how far each automation may go

Only the account owner can change limits; everyone else sees them as View only. For each automation, choose How much it can do before it asks:

  • Draft only and Approve each — every action waits in the ledger for you.
  • Automatic (with undo) — goes ahead without asking while it stays inside your limits. Anything over a limit waits for you.
  • Fully automatic — the same, with no undo window.

Then set:

  • Daily limit ($) and Per-action limit ($) — leave empty for no limit. Limits count money only for Restock orders (cost times quantity) and Clear dead stock (the value of the stock). The other automations spend nothing, so at an automatic level they go ahead every time.
  • Undo window (hours) — from 1 to 720.

Click Save on the card.

Out of the box, Restock orders, Price markdowns, Email campaigns and Clear dead stock are Draft only, and the rest are Approve each. Restock orders start with a $2,000 daily and $1,000 per-action limit, and Clear dead stock with $500 and $200.

Ready to raise this limit?

After you approve 15 actions of one kind in a row without changing them, its card offers Raise limit, which moves it one step up. Changing the level by hand starts the count again.

The Can act on its own switch

Switching Can act on its own off stops that automation acting without asking, at any level. What it proposes still appears in the ledger for you to approve or reject.

Undo

Undo is offered on automatic Fraud holds while their undo window is open: it releases the order. The other automations have no Undo button. Their results are drafts you can delete, or a description you can edit, and an email that has been sent cannot be called back. At an automatic level, Review requests and Automation actions send email to customers without asking you first.

Good to know

  • Every proposal and every action is recorded in the ledger, whatever the level.
  • Other ideas from your store's automations appear under Home → Suggestions.
